Changing your phone system (Private Branch Exchange PBX) can be a challenge finding the right PBX for small business. Depending on your needs, an upgrade can save you time and money, as well as provide your business with features that take your efficiency to the next level.

When it comes to choosing the best PBX system to use in your business, there are a number of factors involved that will help your decision. The best way to get a grip of these factors, is to examine the benefits and drawbacks of the different types of PBX systems that are available today.

The Hosted PBX

These systems sit off-site or "in the cloud". It would be maintained and operated by an external network, rather like a mobile contract, so you pay for services monthly but also, per user. Hosted PBX systems utilize Voice over Internet Protocol (VoIP).

Unlike an on-site IP PBX, there is little or no initial investment cost for equipment, though you may need to purchase your handsets or install structured cabling.

On Premise PBX

Dial-RedAsset 1

An on-premise solution will use VoIP. This means that all of the information that is passed through phone communication is converged with your data communications and relayed using Internet Protocol (IP). Amongst the industry leaders for IP PBX systems are Mitel, Panasonic and NEC.

The convergence of data with the communication network, means each call is less expensive or even free. Read more about IP Phone Systems

An on-site PBX, with all the hardware that is required for the IP PBX, this would be purchased and installed at the expense of your business. This results in an up-front cost though leasing arrangements can be negotiated, so cost can be spread over time.

Also, as with all VoIP PBX systems, if the Internet connection is lost, then the ability to make calls is also lost so it’s important to work with a provider like ourselves that will build in automatic business continuity using Sip Trunk Call Manager. A reliable Internet connection must be maintained at your business, so, it is important to consider having a robust internet solution in place or 4G and 5G mobile backup in case of a WAN outage.

The advantages of On-Premise PBX

There are many benefits of having on-premise PBX, and here are just a few examples to consider:

  • Low Cost over Time - by contrast, hosted VoIP can work out more expensive than On-Premise PBX when you price the running costs over 5 years. It will typically cost your business less to manage an on-premise PBX system and associated Sip trunks, than it will to retain hosted licenses for each user.
  • You Own It - with hosted phone systems, you very rarely own the equipment you are using. Instead, you will be paying a monthly fee to use the equipment that is hosted elsewhere in the cloud. However, if you prefer to own the hardware that you are using to keep your business running, then an on-premise PBX is the ideal solution for you.
  • Choice of Platform - There is plenty of choice with a range of manufacturers with on-premise e.g. Mitel, NEC and Panasonic.
  • Sip Trunks mean that calls can also be free of charge, plus international destinations are much cheaper.
